Should you buy business software off the shelf, or have it built?

Off-the-shelf tools are cheap and fast until the day your business stops fitting inside them. Here’s a clear way to tell which side of that line you’re on.

Every growing business hits this fork: keep stitching together off-the-shelf tools, or have something built around how you actually work. There’s a lot of money and a lot of frustration riding on getting it right, and the honest answer isn’t “always build.” It’s “build the parts that are actually your business, and buy the rest.”

When off-the-shelf is the right call

If a tool does one standard job and does it well, buy it. Email, accounting, payroll, calendars — these are solved problems, and no custom version is going to beat a mature product with a whole company behind it. You should never pay to rebuild a commodity. Off-the-shelf is the right answer far more often than any agency will admit.

When it starts costing you

The trouble begins when the “simple” stack becomes five or six tools that don’t talk to each other, and you become the glue — copying a customer from the store into the CRM, the CRM into the spreadsheet, the spreadsheet into the invoice.
